*Scope of Position *
Northwest Territories Association of Professional Engineers and Geoscientists (NAPEG) is a not?for?profit
Association which has legislated responsibilities to register all engineers and geoscientists in the Northwest
Territories and Nunavut, under a mandate of protection of the public. NAPEG objectives under the _Engineering _
_and Geoscience Professions Act_ are to regulate the practices of professional engineering and professional geosciences, and to govern the professions in accordance with this Act and the Bylaws; also, to establish and maintain standards of knowledge, skill, care and professional ethics among its members and licensees, in order that the interests of the public may be served and protected.
The Deputy Registrar performs duties which support the ongoing day?to?day operation of the Association. This position maintains records for approximately 2200 registrants, as well as organizing files for various programs and ensuring the website and social media are current.
*Purpose *
* Reports directly to Executive Director/Registrar.
* Provides administrative support to Executive Director/Registrar.
* First point of contact for new applicants and registrants.
* Compiles and organizes all registration applications and files.
* Provides support for Council and Committee meetings and keeps minutes as assigned by the Executive
Director.
* Maintains content for Website and Social Media accounts.
* Takes active role in organizing NAPEG functions such as Professional Development Conferences, Annual
General Meetings, social gatherings, etc.
* Supervises Registration Staff.
* Maintains strict confidentiality and personal discretion in this position.
*Duties/Responsibilities *
*Registration Administration: *
* Apply all registration processes and procedures and issue certificates to all professional engineers and geoscientists who meet the criteria for the professions under the _Act_.
* Provides advice to applicants seeking registration and maintains the register in accordance with legislation.
* Interprets regulatory policies to prospective members, educational institutions, agencies, government and other engineering/geoscience associations.
* Liaises with other regulatory bodies, Engineers Canada and Geoscientists Canada on common issues and acts as a representative of NAPEG at national meetings. The Deputy Registrar attends and actively participates in Admissions Officials meetings of Engineers Canada and Geoscientists Canada.
* Receives applications, sends and files acknowledgment of receipt, requests further information or

documents, if needed, and sets up new files
* Prepares and submits all new applicant files in a timely manner to the Registrar for review
* Recommends updates in registration procedures to the Executive Director, as necessary.
* Uses the NAPEG Database for data entry, data updating and reporting.
* Assists the Finance Officer with the collection and receipt of fees associated with registration as needed.
* Provides first point of contact (reception) for NAPEG through professional greeting of visitors, handling and/or routing of public inquiries, emails, faxes, incoming calls
* Responds to all basic inquiries related to registration by fax, phone, email.
* Updates application packages and other relevant NAPEG documents annually and as needed.
* Enters registration information accurately into the Register.
* Drafts regular correspondence and creates presentations from provided material.
