We are seeking a detail-oriented and organized Accounts Receivable Administrator to join our finance team. The ideal candidate will be responsible for managing incoming payments, maintaining accurate financial records, and ensuring timely collections. This role requires proficiency in accounting software and a strong understanding of accounts receivable processes within the financial services industry.
*Duties*
* Prepare and issue invoices and credit notes to clients/customers accurately and promptly in multiple currencies.
* Work closely with internal departments, such as sales or customer service, to resolve any discrepancies or issues with payments or invoices.
* Track incoming payments, apply them to the correct accounts, and ensure accurate payment records.
* Reconcile accounts receivable ledgers and resolve discrepancies between customer accounts and payments.
* Follow up on overdue accounts and communicate with clients to ensure timely collection of outstanding payments.
* Assist in preparing financial reports, including ageing reports, balance sheets, and profit-and-loss statements.
* Maintain accurate financial records and documentation for all transactions, invoices, and payments.
* Address billing inquiries, resolve payment issues, and maintain positive client relationships.
* Ensure all financial processes comply with company policies and accounting standards.
* Assist in month-end and year-end closing procedures, ensuring accurate financial data is recorded.
* Other duties as assigned.
*Skills*
* Strong understanding of accounts receivable processes, bookkeeping practices, and general accounting principles.
* Experience with accounting software (e.g., Microsoft Dynamics, QuickBooks, Xero) and proficiency in Microsoft Excel for financial reporting and analysis.
* Ability to accurately manage invoices, payments, and financial records with a focus on precision.
* Ability to reconcile accounts and resolve discrepancies in a timely manner.
* Strong written and verbal communication skills for interacting with clients, vendors, and internal teams regarding payments and billing.
* Ability to prioritize tasks effectively and meet deadlines in a fast-paced environment.
* Ability to correctly identify, record and maintain schedules in multiple currencies.
* Ability to identify and address issues related to billing, collections, and customer accounts.
* Strong ability to maintain organized financial records and manage multiple tasks simultaneously.
* Understanding of the importance of handling sensitive financial information with discretion.
