As the first point of contact for customers and the central coordinator for scheduling, communication, and daily operations, this role is the backbone of our business. The Office Administrator ensures that every customer interaction is professional, organized, and positive, from the initial inquiry through service completion.</p><p>This position is vital to maintaining strong customer relationships, supporting our technicians in the field, and ensuring that each day runs efficiently. Strong communication, organization, and attention to detail directly contribute to repeat business, referrals, and the excellent reputation we've earned in the community.</p><p> </p><p>RotoStatic Durham is seeking a reliable, organized, and customer-focused Office Administrator to support daily operations and serve as a key point of connection between customers, technicians, and management. This is an in-office role that balances customer service, scheduling, administrative coordination, light sales support, and hands-on office management, requiring initiative, adaptability, and professionalism throughout the day.</p><p> </p><p><strong><strong>Key Responsibilities</strong></strong></p><p>In this role, you will be responsible for:</p><p> </p><p><strong><strong>A. Office Maintenance:</strong></strong></p><p>• Open the office and prepare the workspace each day, ensuring a clean, organized, and</p><p>welcoming environment;</p><p>• Manage office laundry throughout the shift, including washing, drying, and storing items;</p><p>• Monitor general office cleanliness and the readiness of shared workspaces;</p><p>• Perform minor sewing and repair of bonnets, as required.</p><p> </p><p><strong><strong>B. Customer Service Communication</strong></strong></p><p>• Monitor email inboxes and respond in a timely and professional manner;</p><p>• Retrieve and return voicemail messages and missed calls within 24 business hours;</p><p>• Answer incoming phone calls and follow up as needed;</p><p>• Greet and assist walk-in customers in a courteous and professional manner;</p><p>• Make appointment reminder calls for service appointments scheduled for the next</p><p>business day.</p><p> </p><p><strong><strong>C. Administrative Coordination</strong></strong></p><p>• Review the office purple folder and input work orders into the CRM system/software, as</p><p>required;</p><p>• Document outbound sales calls in Mistral, including contact information, call dates, and</p><p>outcomes;</p><p>• Print technician schedules and receipts (Fridays only);</p><p>• Support overall office workflow by identifying issues early and escalating when</p><p>necessary.</p><p> </p><p><strong><strong>D. Sales Client Engagement</strong></strong></p><p>• Complete outbound sales calls to existing and prospective customers;</p><p>• Provide timely follow-through and high-quality customer service to support the client</p><p>satisfaction and retention.</p><p> </p><p><strong><strong>E. Social Media Marketing Support</strong></strong></p><p>• Create and post engaging Facebook content at least twice per week to promote services,</p><p>share updates, and maintain brand visibility;</p><p>• Monitor and respond to Facebook messages, comments, and inquiries in a timely and</p><p>professional manner;</p><p>• Exercise sound judgment to ensure all content aligns- Location Whitby, ON
