CRUX Psychology is seeking a qualified and highly organized Office Administrator for Assessments to support our growing assessment service. This role requires a professional, detail-oriented, and compassionate individual who can build rapport with clients and third parties while managing sensitive information with discretion and care. Reporting to the Practice Manager, Jennifer Sherry, the successful candidate will demonstrate excellent customer service, strong written and verbal communication skills, and a willingness to learn new systems and processes. The ideal candidate is punctual, reliable, adaptable, and able to work both independently and collaboratively in a fast-paced clinical environment. Previous medical or mental health office experience is preferred but not required. Experience with Google Workspace, spreadsheets, databases, clinical software, workflow tools, and emerging technologies such as artificial intelligence is considered an asset. For more information about CRUX Psychology, visit https://cruxpsychology.ca/ *Office Administrator Duties* * Communicate with clients, clinicians, staff, lawyers, referral sources, and third parties in a courteous, clear, and professional manner. * Answer telephone and email inquiries, relay messages accurately, and complete follow-up communication as required. * Coordinate assessment scheduling, rescheduling, cancellations, and wait lists. * Support clients through the assessment intake process, including forms, appointment logistics, and general procedural questions. * Assist with billing processes, including quotes, deposits, payments, receipts, and payment follow-up for assessments. * Prepare and submit third-party invoices upon completion of assessments.Coordinate administrative steps related to report completion, feedback appointments, and release of assessment documents, in keeping with clinic procedures. * Maintain assessment records, templates, forms, policy documents, and filing systems to support efficient workflow and document retrieval. * Manage client databases and complete accurate data entry. * Monitor and maintain assessment materials, office supplies, and administrative inventory. * Handle highly sensitive personal and clinical information with confidentiality, professionalism, and discretion. * Assist with general office administration, including incoming and outgoing mail, equipment coordination, and other operational duties as needed. * Attend meetings and support continuous improvement of administrative systems and processes. *Qualifications* * Minimum two years of experience in customer service, administration, or office support, preferably in a clinic, health care, legal, or professional office environment. * A University degree or college diploma in a relevant discipline is preferred. * Proficiency with Google Workspace and other common business software applications. * Strong written and verbal communication skills. * Excellent organization skills and ability to manage multiple tasks under tight deadlines. * Strong attention to detail and accuracy. * Ability to work independently while also collaborating effectively with a team. * Trustworthy, discreet, and professional in handling confidential information. * Thoughtful, c- Location Halifax, NS
