Receptionist for Property Management The Receptionist is responsible for providing front desk and administrative support to ensure the efficient day-to-day operation of the property management office. This role serves as the first point of contact for tenants, owners, contractors, and visitors, delivering professional customer service and administrative assistance to the property management team. Key Responsibilities -Front Desk & Customer Service * Greet and assist tenants, owners, contractors, and visitors in a professional manner. * Answer and direct incoming phone calls and emails promptly. * Respond to general inquiries regarding properties, maintenance requests, and office procedures. * Maintain a positive and professional front office environment. Administrative Support * Manage incoming and outgoing mail, courier deliveries, and office correspondence. * Schedule appointments, meetings, and property inspections. * Maintain filing systems, databases, and office records. * Prepare and distribute notices, letters, and documentation as required. * Assist with data entry and document management. Communication & Coordination * Liaise with tenants, owners, contractors, and service providers. * Escalate urgent issues to the appropriate property manager. * Maintain confidentiality of company and client information. Skills & Qualifications * Previous reception or administrative experience preferred. * Strong customer service and communication skills. * Proficient in Microsoft Office and general office software. * Ability to multitask and manage competing priorities. * Professional presentation and telephone manner. * Strong organizational and time management skills. * Experience in property management or real estate is an asset. Working Relationships * Reports to: Office Manager / Property Manager * Works closely with property managers, maintenance coordinators, tenants, owners, and contractors. General Expectations * Maintain professionalism and confidentiality at all times. * Adhere to company policies and procedures. * Contribute positively to a team-oriented work environment.
