Job Summary: The Accounts Payable Clerk is responsible for supporting the day-to-day accounting function, with a primary focus on accounts payable processing, invoice management, and general accounting and administrative support. This role ensures timely and accurate processing of vendor invoices, maintains organized financial records, and assists with various accounting and administrative tasks.--- Accounts Payable & Finance Support (Primary Focus): · Monitor and manage the accounts payable email inbox, including reviewing, coding, and organizing incoming invoices. · Enter vendor invoices into the accounting system (Quantum DIS) with accuracy and appropriate coding. · Match invoices to purchase orders and receiving documentation and follow up on discrepancies. · Prepare and process vendor payments in accordance with company payment terms. · Maintain organized and up-to-date digital and physical AP filing systems. · Communicate with vendors to resolve invoice discrepancies, payment inquiries, and account issues. · Process daily batch transactions in Quantum. · Assist with credit card reconciliations and expense coding. · Support accounts payable, accounts receivable and general ledger reconciliations as required. · Assist with month-end close tasks, including accruals and reporting support. · Support audit requests by preparing documentation and schedules. Administrative & Operational Support: · Answer phone calls, receive office visitors and respond to emails in a timely manner. · Maintain organized financial and operational records. · Assist with POS batch processing and occasional bank deposits. · Coordinate office supply ordering and support office equipment maintenance as needed. · Provide general administrative support to the finance team and other departments during peak periods. Compliance & Process Improvement: · Ensure adherence to company policies, internal controls, and procedures. · Identify opportunities to improve AP and accounting processes and efficiency. --- Qualifications & Experience: · 2?3 years of experience in accounts payable or general accounting required. · Basic understanding of accounting principles and financial processes. · Experience with accounting systems (experience with Quantum is an asset). · Strong attention to detail and accuracy. · Ability to manage multiple tasks and meet deadlines in a part-time schedule. · Strong communication and organizational skills. · Proficiency in Microsoft Excel and general office software. --- Ideal Candidate Profile: · Highly organized and detail oriented. · Comfortable working independently with minimal supervision. · Strong sense of accountability and ownership over tasks. · Positive, team-oriented attitude with a willingness to support multiple functions.
