Job details
*ABOUT US* Your Hometown Dentist is a different kind of dental group: operator-led, clinician-run, and unapologetically community-focused. We are a growing network of local dental clinics across Ontario -- built on the belief that quality dental care belongs in every community, not just major urban centres. We host Free Dental Days every month for uninsured neighbours. We show up for the people in our communities -- and we are looking for an Office Manager who wants to do the same. *THE OPPORTUNITY* This is a leadership role with real purpose. You will manage daily clinic operations, lead the administrative team, and help ensure that every patient -- regardless of coverage -- has a smooth, dignified experience from the moment they call to the moment they leave. As our London and Ingersoll locations grow, so does the opportunity for the right person to take on a broader multi-clinic role. *SCHEDULE* Monday to Friday, full-time (37-42 hours/week). This role may include travel between local clinics. *WHAT YOU'LL DO* *?*Lead and coordinate the front-desk and administrative team, setting the tone for a positive, productive clinic culture ?Oversee patient scheduling, flow, and experience from first call to post-appointment follow-up ?Manage billing, insurance submissions (including CDCP, ODSP, ODA fee guides), accounts receivable, and daily financials ?Monitor key business indicators and clinic performance, identifying opportunities for improvement ?Ensure full compliance with provincial health regulations and infection-control standards ?Handle supply ordering, vendor relationships, and inventory management ?Support recruitment, onboarding, scheduling, and performance management of clinic staff ?Prepare reports and communicate operational updates to ownership *WHAT WE'RE LOOKING FOR* *?*3-5 years of experience in dental office management or senior dental administration -- required ?Proficiency with dental practice management software (Tracker, Cleardent, Dentrix, or similar) ?Solid knowledge of dental billing, insurance coordination, and accounts receivable processes ?Proven leadership ability: you know how to motivate a team and resolve conflict calmly ?Strong organizational and multitasking skills in a fast-paced environment ?Excellent written and verbal communication skills with patients and colleagues ?Experience with staff scheduling, payroll administration, and budget oversight ?University or college diploma in business or office administration is an asset ?Multi-location management experience is a strong asset *WHAT WE OFFER* ?Competitive salary of $65,000-$80,000 annually, based on experience ?Comprehensive dental benefits for you and your family ?Extended health and vision coverage ?Paid vacation and personal days ?RRSP matching to support your financial future ?Continuing education and professional development support ?A genuine, collaborative team culture -- no corporate red tape ?The chance to grow with a multi-clinic group that is just getting started *HOW TO APPLY* Send your resume and a brief cover letter to our hiring team, *communitysmiles.ca@gmail.com.* We review every application and will reach out to candidates selected for an interview. We are an equal-opportunity employer committed to building a team that reflects the diversity of the communities we serve. Accommodations are available at any stage of the hiring process upon request.
