*Executive Assistant * The University of Toronto Faculty Association (UTFA) is the official representative of faculty and librarians at the University of Toronto on employment matters, which include salary, pension, and benefits negotiations, and workplace grievances. UTFA?s purpose is to inform, advocate, support, and advance the interests of the faculty and academic librarians of the University of Toronto. We are a strong voice on campus, to government, and in the public sphere on matters that impact both our members and the quality of postsecondary education. UTFA is seeking to fill a full-time Executive Assistant position in an active Association office located near the University of Toronto downtown campus. The Executive Assistant is ultimately responsible to the UTFA President and will work under the day-to-day direction of the UTFA Executive Director or Designate. *Location* Our current office is located at 77 Bloor Street West, Suite 1800, Toronto, Ontario. A hybrid work schedule is available subject to operational requirements. *Position Summary* The Executive Assistant provides confidential and high-level administrative support to the UTFA President, the Executive Director, and the Association?s operations. *Qualifications and Skills* The successful candidate must have a post-secondary education, or equivalent combination of education and experience, and several years of progressively more responsible administrative experience. In addition, the successful candidate will possess the following: ? Demonstrated experience providing support for Council, Committee, or Board processes; ? Demonstrated competence in detailed editing and proofreading of agendas, minutes, and reports, which can include sensitive and/or confidential information; ? Ability to analyze data, make informed decisions, and provide recommendations to the President, Executive Director, Executive Officers, and staff; ? Ability to maintain confidentiality and security of confidential information; ? Superior interpersonal and communication (verbal and written) skills, and a strong organizational and analytical background; ? Proficiency in scheduling, correspondence, file management, record keeping, task coordination, and overall organizational support to the President in a fast-paced work environment; ? Ability to focus during meetings and remain engaged for long periods of time; ? Demonstrated tact, political astuteness, diplomacy, interpersonal skills and the ability to foster good relationships with elected officials, staff and UTFA members; ? Excellent organizational, problem-solving, time-management and prioritizing skills to manage work subject to tight deadlines in a dynamic and changing environment when working alone and as a member of a team; ? Ability to work on projects both individually and in collaboration with other staff members independent of supervision; ? Ability to undertake a variety of disparate tasks concurrently; ? High proficiency in Microsoft and Google platforms, Zoom Pro, Survey Monkey, Rally Group Meeting Scheduling Tool, AdvoLogix (Salesforce) and Document Management Systems, e.g. Net Documents; and ? Ability to adapt to changing technology trends and business requirements. The successful candidate will have access to and manage sensitive and confidential employee and labour relations information involving members of the Association and members of the CUPE 1281 bargaining unit at UTFA. The successful candidate will demonstrate a commitment to the principles of equity, diversity, inclusion, and Indigenization (EDII); the ability to establish and cultivate respectful relationships with people of diverse backgrounds and cultures; and a commitment to advancing the core academic values of academic freedom and collegial governance. This is a non-union, full-time position with a six-month probationary period. The position falls within the management team at UTFA.
