*Job Summary *
Reporting to the CTO, the Procurement Specialist is responsible for quoting, purchasing, receiving, inventory management, vendor management and shipping. The Procurement Specialist must have exceptional communication, customer service, attention to detail, and organization. The Procurement Specialist is vital for ensuring that our clients? requests are quoted, procured, and delivered on time.
*Job Duties and Responsibilities*
*Quoting, Procurement & Order Management*
* Generate quotes using quoting tools within SLA response times.
* Manage opportunity wins: Convert quotes to Sales Orders and tickets
* Follow up on outstanding orders, ETAs, track approvals, and communicate updates.
* Monitor product costs and quality, provide recommendations, and maintain internal catalogues.
* Proactively communicate ETAs to internal teams and clients.
* Initiate and manage RMAs (returns, exchanges) for defective items.
* Organize and manage the shipping and receiving of equipment locally and nationally.
*Licensing & Email Workflow Management*
* Conduct weekly PAX8 Microsoft NCE licensing audits and adjust subscriptions based on client usage
* Monitor and manage the procurement mailbox, triage licensing and procurement requests, and escalate or delegate appropriately.
*Vendor & Financial Operations*
* Build and manage relationships with key vendors and suppliers to strengthen purchasing power and product availability.
* Evaluate unsolicited vendor offers (e.g., desktops, laptops, monitors) and escalate suitable options to the appropriate team.
* Utilize vendor incentive programs to maximize margins.
* Process monthly SPIFF submissions
* Coordinate ad-hoc billing by reviewing completed chargeable tickets weekly, generating invoices, and sending them to clients.
* Collaborate with Finance to ensure timely and accurate billing.
*Inventory & Lifecycle Management*
* Maintain accurate inventory levels within the stock room and ConnectWise.
* Reorder products and stock proactively when thresholds are met.
* Conduct quarterly inventory audits in coordination with the Finance team.
* Support ongoing lifecycle initiatives for key evergreen clients, including monthly reviews and vCIO-led project coordination.
*Sales Support & Overflow*
* Answer overflow inbound sales calls, document proposect needs, and escalate them appropriately.
* Support the Sales team during peak activity periods or absences to ensure client service continuity.
*General Administration and Other Duties*
* Maintain up-to-date client documentation and purchasing preferences for a consistent experience.
* Maintain a clean personal workspace and contribute to shared office upkeep.
* Organize and keep the stock room tidy
* Submit timesheets and expenses punctually and accurately.
* Record time continuously in ConnectWise using real-time entry.
* Adhere to all SIRKit SOPs and corporate policies to maintain data integrity, service consistency, and security standards.

*Qualifications / Experience*
* Minimum 2 years of experience in IT procurement or IT sales.
* Proficient and experienced in sourcing and evaluating computer equipment, including desktops, laptops, and related peripherals
* Strong understanding of hardware specifications such as RAM, processors, storage types, screen sizes/resolutions, docking stations, and accessory compatibility
