This is an opportunity to bring organization, responsiveness, and collaboration to high-profile events that connect our store network, suppliers, partners, and National teams. *The Opportunity* We are seeking a temporary, full-time Conference Coordinator to support the planning and delivery of Pharmasave National conferences, the Trade Show, meetings, and special events. Reporting to the National Director, Merchandising, you will coordinate timelines, communications, logistics, vendors, documentation, and on-site activities so that attendees and partners experience organized, professional, and well-executed events. *This role is well suited to someone who enjoys turning detailed plans into smooth experiences and staying calm when priorities shift. This is a five month position ending in May 2027.* *What You Will Be Accountable For* * Coordinate project plans, schedules, registration activity, meeting logistics, the Trade Show, and on-site execution to keep events on time, within budget, and aligned with objectives. * Serve as a central point of contact for internal teams, contracted service providers, exhibitors, sponsors, suppliers, and event partners; clarify requirements, track commitments, and resolve issues. * Prepare registration materials, attendee updates, event guides, presentations, briefing documents, supplier communications, and post-event follow-up that are accurate, timely, and professional. * Maintain event records, registration databases, contracts, invoices, budget status, schedules, action logs, and other documentation needed for effective delivery and reconciliation. * Develop volunteer and team schedules, coordinate assignments, and provide hands-on support during conferences and the Trade Show. * Gather feedback, identify risks and opportunities early, and recommend practical improvements to processes, communication, attendee experience, and operational efficiency. *What Success Looks Like* Success in this role means deadlines, details, and stakeholders stay connected from early planning through post-event follow-up. Events are delivered on schedule and within approved budgets; communications are proactive and accurate; vendors and internal teams understand what is expected; and event records and financial documentation are complete. Attendee and stakeholder feedback reflects an organized experience, and lessons learned are translated into practical improvements for the next event. *What You Bring* * Two to four years of experience supporting conferences, corporate events, meetings, trade shows, or related project coordination. * Hands-on experience coordinating logistics, vendors, attendee communications, schedules, event materials, budget administration, and on-site delivery. * Strong organizational and project coordination skills, with the ability to manage multiple deadlines, competing priorities, and last-minute changes. * Clear, professional written and verbal communication and the confidence to build productive relationships across teams and with external partners. * Excellent attention to detail, administrative accuracy, sound judgment, and a practical approach to problem solving and escalation. * Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, and Teams; experience with event registration, attendee management, survey, or mobile event platforms is an asset. * Post-secondary education or certification in event management, hospitality, project coordination, business administration, or a related field is an asset.
