Our company provides customized rehabilitation solutions that help children and adults with a range of medical problems and disabilities to live more meaningful lives. *Position* The Office Assistant position is an integral part of the Operations Team, providing customer service to internal staff and contractors. Duties include but are not limited to: * Receives and processes faxes * Receives and logs client files returned from therapists. Scans files onto Virtual Private Network (VPN). * Discharges client files. * Photocopies Brainwaves and other clinical materials * Photocopies client files as requested by funders. Ensures proper consent is obtained before sending. * Prepares file set-ups for all programs as required. * Scans clinical records from storage onto VPN. * Sets up boardroom for scheduled meetings * Receives and processes medicals mailed to the office. Assists with processing electronic medicals when requested. * Assist with report formatting overflow as needed. * Filing as required. * Provides phone support. * Prepares weekly mail-outs * Provides administrative support to Directors and Managers as requested. * Ensures general office supplies are fully stocked. * Maintains kitchen cleanliness, including cleaning of the coffee machine * Other tasks as assigned * Providing assistance to departments as needed *Required Skills* * University Degree is an asset; * Advanced Microsoft skills; * At least 1 year of experience working in an office is an asset; * Intermediate user of Microsoft Excel, Outlook and Powerpoint; * Excellent demonstrated/referenced skills in both verbal and written English, including grammar; * Demonstrated ability to respond to the public in a pleasant manner in all types of situations; * Strong attention to detail *How to Apply* Please submit a resume via email, with a cover letter stating your salary expectations to Simran Dhillon, HR Coordinator.
